# Create New Client

## What This Section Covers

This material covers how to create a new Client profile in Compassly.

## Before You Start

* You must have permission "View client list".
* You must have permission "Add new client".
* You should have the client’s demographic, contact, location, and assignment details ready.
* You may also need contact person, caseworker, or nurse details if those sections will be completed.
* Confirm that the Client profile you want to create does not already exist in Compassly.

## Where To Start

1. Sign in to Compassly.
2. In the left navigation menu, select ***Clients***.

> **Warning:** While it is the default state, you should confirm that you are on the "Active" Client List.

## Available Actions

1. **Create a new Client profile in Compassly.**
   * Click on the "+" button in the upper right corner of the page.
   * A small dropdown menu should appear. Select the option "Add new client" to continue.

* You should be directed to a new page titled "Add new client".
* The required fields (Which will be marked by an asterisk) are:
  * *First name*
  * *Last name*
  * *Date of birth*
  * *Age* (Determined by *Date of birth* field)
  * *Assigned team members*
  * *Locations*
  * *Email* (Under Client contact data)
  * *Cell phone* (Under Client contact data)
* The optional fields are:
  * *Middle initial*
  * *Sex*
  * *Gender identity*
  * *Marital status*
  * *Payer source*
  * *Diagnoses*
  * *Allergies*
  * *Admission date*
  * *Discharge date*
  * *Address* (Under Client contact data)
  * *Home phone* (Under Client contact data)
  * *Contact person’s data* (*First name, Last name, Email, Phone number*)
  * *Caseworker’s data* (*First name, Last name, Email, Phone number*)
  * *Nurse’s data* (*First name, Last name, Email, Phone number*)

* For Date fields, such as *Date of birth*, there will be a small icon on the right side of the input box that looks like a calendar with an even smaller analog clock image on it's bottom right corner. Clicking into this kind of input field should trigger a calendar display. Consult the reference image below for instructions on how to navigate this calendar to select the date you want.

* There are multiple ways to provide input for the *Locations* field. For the primary method, you can click on the input box itself, opening a dropdown menu. This menu contains a list of options for all locations currently recorded on Compassly, of which multiple options can be selected. There is also a search bar provided at the top of the dropdown menu to assist in finding a particular location option. However, if the location you wish to apply does not currently exist in Compassly, you should click the "+" button located to the immediate right of the input box. This will open a dialog box where you can input a new location. All fields will be required, save for the *Allotted hours (per calendar week)* field, though if you are aware of the exact hours, please be sure to add this information. If you are not sure of some of the address details, such as the zipcode, you can use the "Address lookup" button at the top left of the dialog box, below the title "Add new location". This will open a second dialog box over the first one with another input box. Simply type in the details you know using standard address format (i.e. Street name, City, State, Zipcode), and the built-in google-based search function will generate suggestions in a dropdown menu below the input box. Select the correct option and then click the "Apply" button. This should redirect you back to the first dialog box with all the required fields filled out, save the *Title* field, which you will have to fill out. When you are finished, click the "Apply" button here to save the new address and apply the location to the new Client profile. A notification will pop up in the bottom left corner of the page, informing you of either of the success of the new location saving, or the fact that the location you attempted to input already exists in Compassly records.

* For the fields *Locations* and *Assigned team members*, there is a option titled "See all" that, when clicked, will open a list on the right side of the screen containing all the options you have associated with that Client. This can be useful if you are inputting multiple options and lose track of what options you have already added.
* After all input fields have been filled out, click the "Apply" button to save your new Client profile. A notification should pop up in the bottom left corner of the page to confirm your success.

## Notes

* There are currently no failsafes for backing out of creating a Client profile after a change has been made but not saved, so keep that in mind.
* If you create a location while creating a new Client profile and back out before saving the new Client profile, the location will still be recorded in Compassly.
* Fields for phone numbers (*Cell phone, Home phone, Phone number*), will only accept number inputs, not letters, and will require all seven digits of the phone number plus the country code (i.e. +1 for America). It will also be auto-formatted into standard phone number format (+# (###) ###-####).
* If an optional field is filled out in an optional segment (*Contact person’s data, Caseworker’s data, Nurse’s data*), you will have to fill out all the fields in that segement.

## Role Differences

* ***Super Admin / Admin / Supervisor / Clinician:*** Will be able to create a new Client profile.
* ***Basic:*** Does not have access to create a new Client profile.
