# Shifts

**Page type:** Overview\
**Status:** Draft\
**Owner:** Compassly Documentation Team\
**Last verified:** 2026-07-08\
**Audience:** Super Admin, Admin, Supervisor, Clinician, Basic

## Purpose Of Shifts

Shifts represent scheduled work assignments for a team member at a specific Location. A Shift records when a team member is expected to work, which Client(s) and Service the work is for, and the Progress Note documenting that work. Shifts can be created directly on the schedule, or generated from a reusable, dateless pattern stored in the Shift Template Library.

## What This Section Covers

This material covers how to view the shifts assigned to you, add and sign a Progress Note for a shift, build and reuse Shift Templates, manage shifts on the schedule (individually and in bulk), and how Shift visibility and permissions differ by role.

## Before You Start

Before reviewing this section, confirm the following:

* You must be able to sign into Compassly.
* You are able to navigate to ***Shifts*** via the navigation menu on the left side of any page in Compassly.
* Some actions depend on the Shift's status: **Template**, **Unpublished**, **Published (Note Unsigned)**, or **Published (Note Signed)**.
* Some actions are restricted by role — see **Role Differences** below.

## How To Get There

1. Sign in to Compassly.
2. In the left navigation menu, select ***Shifts***.
3. Choose ***Shift Template Library*** or ***Shift Management***.

## What You Can Do Here

Depending on your role, you may be able to:

* View the shifts assigned to you
* Add a Progress Note to a shift and sign it
* Unlock a signed Progress Note for edits *(if your role includes that permission)*
* Build and manage reusable Shift Templates
* Add, edit, publish, and delete shifts on the schedule
* Manage shifts in bulk (publish, edit, delete)
* Review scheduled and published hours across your team

## Role Differences

* ***Super Admin / Admin / Supervisor:*** Full access to ***Shift Template Library*** and ***Shift Management***, including managing all team members' shifts and notes and unlocking signed notes — but "all team members" means everyone they're connected to by Team and Location, not literally every team member in the system. See **Notes For This Section** below.
* ***Clinician / Basic:*** Does not have access to ***Shift Template Library***. In ***Shift Management***, only has access to: viewing, editing, publishing, and signing shifts assigned to themselves. Cannot view or manage shifts or notes assigned to other team members, and cannot unlock a signed note — if a signed note needs a correction, ask someone with the "Unlock progress notes" permission (typically a Supervisor, Admin, or Super Admin) to unlock it.

> ### Some actions, such as unlocking a signed note, may be restricted by role.

## Notes For This Section

* Screens and available actions may differ by role.
* A Shift Template is a dateless, reusable pattern. Creating a Shift from a template does not link them — editing a template later does not change shifts already created from it.
* Seeing and managing a specific team member's shifts takes **two separate connections**, both configured in ***System Settings*** > ***Connections***: the team member must be on a **Team** you have access to (this is what makes the *person* visible to you at all), and they must share a **Location** with the shift you're trying to view or create (this is what gives you access to that specific schedule and its clients). Having one without the other isn't enough — see [Connections](/compassly-docs/administration/system-settings/connections.md).

## What Happens Next

Choose the section that matches the task you need to complete.

If you only need to view and complete your own assigned shifts, start with ***Shift Management***. If you need to build reusable shift patterns for your team, start with ***Shift Template Library***.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://compassly.gitbook.io/compassly-docs/core-modules/shifts.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
