# Add and Sign a Progress Note to Your Shift

## What This Section Covers

This material covers how to open a shift assigned to you, fill in its Progress Note, optionally attach files, and either publish it, sign it, or both — this is the task most team members will use Shifts for day to day.

## Before You Start

* You must have permission "Manage shifts and notes".
* The shift must have a Service assigned to it. A shift with no Service is still in the **Template** status and has no Progress Note section to fill in — see [Understand Shift Statuses](/compassly-docs/core-modules/shifts/shift-management/understand-shift-statuses.md).
* If your role does not include "Manage Progress Notes of Other Team Members," you can only add or sign a note on a shift assigned to yourself. Shifts assigned to someone else are shown to you in read-only mode if you can see them at all.

## Where To Start

1. Sign in to Compassly.
2. In the left navigation menu, select ***Shifts***.
3. In the left navigation menu, select ***Shift Management*** from the dropdown menu under ***Shifts***.
4. Find your shift on the calendar and click it. See [View My Assigned Shifts](/compassly-docs/core-modules/shifts/shift-management/view-my-shifts.md) if you need help locating it.

## Available Actions

1. **Review the shift's assignment and schedule.**
   * The shift details show the assigned Team member, Client(s), Service, date, and start/end time. ***Units*** is calculated automatically from the shift's length and the Service's minutes-per-unit setting, and cannot be edited directly.
2. **Fill in the Brief Summary.**
   * The Brief Summary is a required text field, up to 1000 characters, that summarizes the shift as a whole.
3. **Fill in an Individual Note for each client.**
   * If the shift has more than one client, a separate Individual Note appears for each one, labeled "Individual note: *\[Client Name]*." Each note is required and can be up to 1000 characters.
4. **Reuse your last note, if it applies.**
   * Click ***Load Previous Form*** to pull in the last Progress Note you submitted for this Service, so you can edit it instead of starting from a blank note.
5. **Attach files, if needed.**
   * Click the ***Files*** button to open the attachments overlay. Drag and drop a file onto the upload area, or click it to choose a file from your device. You can attach up to 10 files per shift, up to 100MB each, with a combined total of 512MB. Attachments are optional — you can save a Progress Note with no files attached.
6. **Save your work.**
   * What buttons are available depends on the shift's current status:
     * If the shift is **Template** or **Unpublished**: click ***Update*** to save your note without changing the shift's visibility, click ***Publish*** to make the shift visible on the schedule without signing the note yet, or click ***Sign & Publish*** to publish and sign the note in one step.
     * If the shift is **Published (Note Unsigned)**: click ***Update*** to save changes, or click ***Sign*** to lock in the note.
   * All of the Progress Note's required fields must be filled in before you can sign. Signing a shift's note is final — see [Understand Shift Statuses](/compassly-docs/core-modules/shifts/shift-management/understand-shift-statuses.md) for what happens after a note is signed.

## Role Differences

* ***Super Admin / Admin / Supervisor:*** Can add and sign a Progress Note on any team member's shift.
* ***Clinician / Basic:*** Only has access to: adding and signing a Progress Note on shifts assigned to themselves.
